3 Ways To Outsource Your Billing Services Quickly

The world of medical billing is continuously changing and will be under a great deal of stress in 2024. If your medical practice is just starting or your medical billing department struggles to keep up, it may be time to move to a billing assistant quickly.

A medical billing assistant can be instrumental in managing the billing processes of your healthcare practice. They will effortlessly fit into your daily operations and efficiently handle routine tasks, including verifying patient insurance, responding to patient inquiries, updating medical billing software, establishing patient payment plans, and more.

Communicate Clearly

If you have a medical billing team in your office, announcing a move can create a great deal of stress. If you're going to let someone go, prepare them before announcing it to the rest of your staff. Knowing the core of the job is knowing how to do the job right.

If you've been thinking about outsourcing payroll, billing, accounts receivable, or accounts payable, and someone is retiring, resigning, going part-time, or undergoing any other massive life change, now is your time to move to an outside provider.

Whenever jobs change or go away, the folks still in the office will get nervous. Gossips can gain a lot of power if you don't get on top of the information flow, so make sure that your team knows what's going on as soon as you've made a decision; you will take away the power of the rumor mill.

Also, be ready to consider other forms of outsourcing. If you've got someone doing payroll in-house, be aware that outsourcing can increase your privacy, information security and reduce tension in the office. Again, watch for significant life changes among your staff. Payroll can be quite contentious depending on the personnel, so finding a good time or reason for the switch can smooth the waters.

Choose a Billing Service with the Expertise You Need

The world of medical insurance is continuously changing and shifting on a state-by-state and company-by-company basis. There are medical billing companies in California that can support you effectively, no matter where your office is. Still, a medical billing company elsewhere may need some training to get up to speed.

Furthermore, in medical billing, understanding and using CPT insurance codes correctly is essential for healthcare providers to ensure accurate reimbursement for the services they provide. These codes play a critical role in communicating the details of medical procedures to insurance companies and facilitating the billing process. Ultimately, you should outsource to a company that understands the intricacies of efficient billing practices.

Do your best not to become a test case. You need professionals who have skills in your state and specialty. The cheapest billing service may not be a bargain if you face upset clients or a disrupted cash flow.

Discuss your concerns with others in your chosen field. Review articles produced by professional organizations to see who is advertising their billing services in your industry. You need expertise specific to your field and your insurance challenges, if applicable, so be ready to check in with your colleagues to discuss how they have handled this challenge.

Do Your Homework

Study the reports provided to you. If possible, look for a company that can give you an up-to-date dashboard of services rendered by date and the billing status. If you notice a considerable slow-down in collections, track down whatever is causing the delay and strive to stay on top of the information transfer.

Be prepared for some resistance in-house, especially if your in-house billing team will be transferred over to other work. In your medical billing services contract, carefully review what information transfers are your office’s responsibility and what needs to be done by the biller.

If there's a spot in the information flow that's consistently breaking down, get on the phone with your sales rep and not give up until the problem is ironed out.

Once you know where the breakdown is, consider setting up a scheduled check-in with your billing services provider. Create a weekly calendar reminder that features an email between

  • your billing services provider
  • your in-house coordination team
  • your office manager

That lets everyone know that you're monitoring this personally and striving to get things right. If you find that there is resistance from one area of the department, be ready to move people around to overcome this issue. You may also have to let people go if they are actively fighting the change.

As things get up and running with your new billing services provider, keep an ear out for any patient concerns. New billing providers may change your invoices’ format and look, which may surprise some of your older patients. If anyone has any issues with customer service, be sure you address it with your new provider.

Small-Scale Outsourcing: Lucrative?

Early on in his first term, President Obama’s administration made some claims that they will be bringing the jobs back home and putting some pressure on outsourcing by ending tax breaks to US companies that engage in heavy outsourcing operations.

A lot of companies didn’t agree with clamping down on outsourcing as a means to get our people back to work once again; if anything it could even work against the small entrepreneurs and startups by making the financial barriers to profitability that much harder to scale.

Further examination of this issue doesn’t make it any more sensible. We all belong to a wholly global economy now, and utilizing manpower and resources overseas to accomplish business goals on your home country is a practice that isn’t going away.

Inevitable and Profitable

One way or the other, we have to outsource, and the solution to getting people employed here once again is not to prevent outsourcing, but to create new ways to do business that take advantage of the rich availability of offshore manpower and resources.

For the small entrepreneur such as myself, I have had some moderate success in farming out tasks and even entire projects to contractors outside the country. It has gotten to a point that I have decided to expedite forming an LLC that offers outsourced services to my fellow small entrepreneurs.

For as long as they have stable internet connectivity and have a solid command of the English language (either that, or you yourself know how to speak their native tongue), this could be the way to grow your business without getting mired in overhead costs. Below are some distinct points that highlight the advantages and dispel some negative myths on small-scale outsourcing.

Competent Professionals are Available

Just as there are incompetent people in just about every nook and cranny all over the civilized (and even uncivilized) world, there are those who exhibit excellence in their work. You, as a business owner, would like to be able to get the best talent you can afford. To compromise on that by getting a higher paid, less-qualified individual because he/she just happens to be from the same country isn’t good business sense.

No doubt, you’ve heard of some horror stories of outsourced projects going awry thanks to people who don’t know what they’re doing, but the reason for these failures aren’t mainly due to the fact that the work or tasks were outsourced, but because they were outsourced to the wrong people, or ill-managed by the project managers that were in charge of monitoring their progress.

Not Everything Has to be Outsourced

This is something most alarmists aren’t considering when they proclaim the evils of outsourcing and how it takes food away from the American family’s dinner table and provides some terrorist the funds to buy their bombs. You’d think this is an overly gross exaggeration of some people’s sentiments, but look around the internet for a bit and you’ll see this kind of thinking being propagated.

As I mentioned, the key is to utilize the offshore resources to create even better jobs for the local professionals. It takes some out-of-the-box thinking and a broad perspective on what is possible, and that’s something that makes a pioneering entrepreneur stand out amongst his/her peers.
With these insights, I enjoin all the aspiring entrepreneurs out there to partake of the best of what the world has to offer, and grow their dream businesses using the power of outsourcing!

4 Ways IT Outsourcing Companies Can Save You Money

A typical server "rack", commonly se...
All fledgling businesses have two problems, finding clients and managing a restrictive amount of money for expenses. Managing your business income means finding ways to save money. The new business man trys to save money by performing as much work as possible themselves, so the need to spend money hiring someone is eliminated. They end up being the secretary, office manager, bookkeeper, and salesman. Add to that computer and network repairman.

As the business grows your time becomes more valuable and you hire people to do specific work around the office. It makes sense to hire help as you slowly build your business. The owner's skills are more needed in growing the business and maintaining its viability.

As a business grows what used to be an easy office duty is now a more involved and complicated job. As an example, your office network consisted of plugging your computer into a modem and going online. As the business grows, you are forced to network your Internet connection and have inter-office connectivity. The one computer online is turning into 5, then 10 ,then 20 computers that need local network as well as the Internet. The IT needs of your office has grown, to big and to complicated for an IT amateur.

Maybe it's time to get some help.

Hiring any of the best IT outsourcing companies can be intimidating at first but eventually it frees you up to pursue more money making goals. IT companies have much to offer a company and can contribute much to the profitability of a company.

4 Reasons To Outsource Your IT needs.

1. An IT company has access to equipment and technology that the average business owner cannot acquire. You will have access to the latest hardware and software your business needs to compete in today's business environment. Having this hardware can make your networking more robust and adaptable to a changing environment.

2. If you plan on your business expanding then your IT needs will also have to keep up and expand. More complicated networking solutions are necessary and do you have the knowledge to address this problem? Most likely your basic knowledge has gotten you far. If haven't needed outside help yet, eventually you will. IT outsourcing companies have the expertise and continually keep up with an ever changing IT environment.

3. Downtime is a business killer. What would you do if the site you needed to make a purchase at was down? Realistically the customer would move on to a competitor of yours to do business. Don't be the company that trys to save pennies and lets the dollars fall through the cracks. IT companies are able to watch the functioning of your site and will be able to keep the downtime at a minimum.

4. Your websites efficiency depends on the finesse of you IT professional. As systems function and grow they have a tendency to bog down. Your sites traffic will then slow down as a result. A slow site is a business killer. It says to the customer that this company doesn't care about its public face and if that's the case then what other ways does the company run itself poorly.

Having your IT work done properly just makes business sense. Letting an outside company handle your IT processes, can only make your company stronger. Experienced companies know their employees are better used by focusing on growing the business.
